To add existing products into GS1 US Data Hub that already have GTINs assigned, perhaps from another system (or if you wish to type in available GTINs manually to these products), follow these steps below. From the menu bar, click Product, then the Import Products link.
On the main Import page, select the industry for the products you are going to import.
Click the "Download Import Template" link. Confirm the industry and save the template to your computer. This template does not include any pre-populated product or GTIN information.
Enter your information into this template, based on the column values as noted in the Product Import user guide. If you are pasting information from another spreadsheet, select "Paste as Values" to preserve the formatting of this template. When you're done, save this file to your computer. Here are the required columns, which have green-colored headings:
Action: Select "Create" from the drop down
GS1CompanyPrefix: Enter your GS1 Company Prefix, as noted on your certificate
GTIN: Enter the GTIN for this product. If these are GTIN-12s, enter two leading zeros, which serve as filler digits, so that the GTIN is represented with 14 digits
PackagingLevel: Enter "Each" for individual products. View the Packaging Level article for definitions.
Description: Enter the product description that is used for retailers (as opposed to a description for consumers)
Desc1Language: Select "en" for English
BrandName: Enter the brand name - note this field is restricted to 70 characters
Brand1Language: Select "en" for English
Status: If you are sharing this product with consumers and trading partners, select In Use. If product details are still being finalized, and products not ready to viewed by the marketplace, select PreMarket.
IsVariable: Select "N" - meaning this product is not a variable measure trade item
IsPurchasable: Select "Y" - meaning this product is purchased by consumers
After you enter the product data and save the file, click Browse on the main Product Import page and select this file, then click Submit.
GS1 US Data Hub begins to process the file. When "Complete" displays in the Status column, the file has been processed, and you will see the number of records that were processed, the number of successful records and the number of records that had errors (if any).
If you do see a number other than zero (0) in the # Errors column, click the File Name column to open the file and view the errors in Column B of the spreadsheet. The Product Import User Guide, Appendix B, contains a list of error messages and corrective actions you can take. You should make the correction back in your original spreadsheet, remove all the rows for the products that were successfully imported, save the file and submit the file again.
